Registration FAQs

How do I register for classes? 

5 Ways to Register:
1. Online Never registered online with us? You will need to set up a household account with us.  We manually set up Household ID's here in the office, so this may take one to two working days. Forgot your username and/or password?  Login help

When are Activity Guides published?
The Recreation Department publishes Activity Guides three times per year:  April (a listing of summer programs), August (a listing of fall activities, and some winter and spring activities also), and December (a listing of winter and spring activities). 

When may I register for programs?
Always check the current activity guide for registration guidelines and when to register.  Register for programs as soon as possible.  If you wait, your selection may fill and you will be out of luck.  Conversely, if you wait too long to register, the class or activity may be canceled due to low enrollment.

I don't live in Wauwatosa.  May I still register for programs?
All of our programs are open to residents of other communities.  Always check the current activity guide for registration guidelines and when to register.  Families who live outside of Wauwatosa, but have children in Wauwatosa public schools (includes Open Enrollment programs) may register as RESIDENTS. 

How do I transfer to a different class?
You may transfer to a different class if that class still has availability and you meet the class requirements (e.g. grade, age, etc).  Payment adjustments may need to be made.  Notify the Recreation Department by calling (414)773-2900 during normal business hours, or by sending email to tosarec@wauwatosa.k12.wi.us.  Be prepared to be specific about class name, activity number and start date.

Which programs fill first?
It is always difficult to predict which classes or class sections will fill more rapidly that others.  Experience has shown that certain classes fill more quickly that others, so we use a "Popular Class" symbol to denote those classes in our activity guide.  If you see that symbol next to a desired class, register as soon as possible.  Check the current activity guide for specific guidelines and deadlines.

Can I get a refund?
If you wish to cancel your registration, call the Recreation Department office during normal business hours, (414)773-2900, or send email to tosarec@wauwatosa.k12.wi.us.  Be prepared to be specific about class name, activity number and start date.  A credit for unused upcoming classes will be put on your household account for use with future registrations.  Any classes that have passed, regardless of attendance, will be subtracted from the total.  If you wish to have a refund check issued, or a refund to your credit card, a $5.00 processing fee will be deducted from the refund total.  We do not store credit card numbers; you will need to call the office with that information.  NO REFUNDS or credits will be issued after the class has ended.
Classes that provide certifications, such as Lifeguarding, Babysitting, etc., may have certain exemptions from refunds.  Call the Recreation Department office for those details, (414)773-2900. 

How do I get my name on a wait list?
If you wish to have your name placed on a wait list, call the Recreation Department (414)773-2900, or send email to tosarec@wauwatosa.k12.wi.us to see if a wait list is available for that class.

Can I reprint an activity confirmation (receipt) or view my household activity calendar?
The easiest way to check on a registration or view/print a receipt or household activity calendar is to go to our online registration system. From our home page click on Register Online, and log in as though you are going to do an online registration.  Point your mouse at My Account, and click on Reprint a Receipt or Print a Household Roster Calendar.  If you do not have access to a computer, call the Recreation Department (414)773-2900.

Online FAQs

How do I register online?

Click on ONLINE REGISTRATION .  You will need to enter your user name and password.  It is helpful to have Adobe Acrobat Reader installed on your computer so that you can view and print your confirmation/receipt.

How do I get a user name and password?
In order to register for any Recreation Department activities, you must have your household information on file with us.  Please visit our Household ID Request Form.  You will receive a username and password that will allow access to the Online Registration page on the website. Username and password will be emailed to you within 48 business hours.  If you have recently registered ONLINE with us, you already have established login information, and do not need to obtain another Household ID. Each household is assigned a unique user name and password.  Once your household account is established, you will be emailed your user name and password.  You may then access the online registration system (WebTrac) to register for classes or activities, to check your registrations, to view account information, etc.

I forgot my password.  Can I get a reminder?
You can be reminded of your user name and password by calling the Recreation Department (414)773-2900 or sending an email to tosarec@wauwatosa.k12.wi.us.  Or click on Register Online on the left hand side of this page and click “forgot password”.

May I change my user name and /or my password?
Yes, you may change either or both, and are strongly encouraged to do so.  Simply log into the online registration system (WebTrac) at www.tosarec.com, and enter the user name and password that we have assigned to you.  Then, point your mouse at My Account (just below the Wauwatosa Recreation Department banner).  One of the choices is to change your log in information.

May I view my family member information (birth date, grade, gender, etc.)? 

Yes, log into the online registration system (WebTrac) at www.tosarec.com, and enter the user name and password that we have assigned to you.  Then, point your mouse at My Account (just below the Wauwatosa Recreation Department banner).  One of the choices is Family Member Data.       

How do I add a family member to my account, or change family member information?

To add a family member to your account, or to change information about that family member, call the Recreation Department (414)773-2900 or send email to tosarec@wauwatosa.k12.wi.us, during normal business hours.  Please give specific information when sending email; include your name, the name, date of birth and current grade of the person to be added.

How do I change my household information (address, phone, email contact, etc.)?
You may make those changes by logging into the online registration system (WebTrac), and pointing your mouse at My Account.  You will NOT be able to change your residency--you must either telephone the Recreation Department office (414)773-2900 or send an email to tosarec@wauwatosa.k12.wi.us.

How long must I wait to see if I am enrolled in a class or activity?
Our registration system (WebTrac) works in real time.  If you successfully complete an online registration, you should receive an emailed confirmation within minutes of the transaction. 

I did not receive a receipt/confirmation.  What should I do?
If you do not receive your emailed confirmation, check your Spam of Junk folder, or the settings on your Internet browser.  If you have Gmail, please check your Promotions folder. If you still cannot find the confirmation, point your mouse at My Account, and choose to Reprint a Receipt or View Household Activity Calendar.  If you do not see the transaction, notify the Recreation Department office (414)773-2900 or tosarec@wauwatosa.k12.wi.us.

Policies and Procedures

Confirmation of Registration (Receipt)

Online Registration will provide you with an email receipt. If you register by mail or fax, a confirmation of registration will be emailed to you.  Please check your Spam/Junk folder if you don't see it in your Inbox.  If you have Gmail, please check your Promotions folder.

Class Availability

Use the online registration system, or contact the Recreation Department office,  (414)773-2900, to find out about class availability. Instructors are not able to accept registrations at the class.

Canceling Your Registration

To cancel your registration, call the office, (414)773-2900. A credit for unused upcoming classes will be put on your Household Account for use with future registrations (some exceptions apply). No credit for classes that have passed, regardless of attendance.

Returned Checks

$15 fee for any returned checks (NSF).

Didn’t Receive a Confirmation?

If you registered with us but did not receive an emailed confirmation . . . Check your Spam or Junk Folder . . . adjust your Trusted Sender settings on your internet browser . . . check with us to make sure your email address is correct in our database. . .If you have Gmail, please check your Promotions folder.

Wait Lists

If an activity or class is full, please call the Recreation Department (414)773-2900 or send an email to tosarec@wauwatosa.k12.wi.us to see if there is a wait list.

Cancellations

All programs are subject to change. Programs will be subject to cancellation should low attendance warrant such a decision. There may be times classes need to be canceled due to weather, facility scheduling, etc. We will attempt to reschedule the class, however, if we are unable to make up the class, there will be NO REFUNDS or credit given for class cancellations.

The weather is bad. . are Recreation Department classes canceled?

When the Wauwatosa School District cancels classes and/or extra-curricular activities, all Recreation Department activities are also cancelled. Tune to local radio and TV stations for cancellation information.

Photo Policy

For program promotion purposes, photographs may be taken of participants. If you do not wish to have your photo taken, please notify the photographer or instructor.
